What Syncs Between BuilderFlowPro and QuickBooks

How the QuickBooks Connection Works

Connect via OAuth — One Click, No Passwords — In your BuilderFlowPro settings, click "Connect to QuickBooks." You're redirected to Intuit's secure authorization page. BuilderFlowPro never sees or stores your QuickBooks password — authentication is handled entirely by Intuit's OAuth 2.0 system.
Map Your Chart of Accounts — Tell BuilderFlowPro which QuickBooks income accounts to use for construction invoices and which expense accounts to use for project costs. Setup takes about 5 minutes and only needs to be done once.
Invoices and Clients Sync Automatically — From this point forward, every new client and invoice created in BuilderFlowPro syncs to QuickBooks within seconds. Payments recorded in QBO sync back to BFP. Your books stay current without any manual intervention.

Is the QuickBooks sync real-time?

Yes. When you create or update an invoice in BuilderFlowPro, it syncs to QuickBooks Online automatically — no manual export or button to click. Payments recorded in QuickBooks also sync back to BuilderFlowPro so your project financials stay current. Sync typically completes within seconds of a change.

Which version of QuickBooks does BuilderFlowPro support?

BuilderFlowPro integrates with QuickBooks Online (QBO). QuickBooks Desktop (the installed Windows or Mac application) is not currently supported. All major QBO subscription tiers — Simple Start, Essentials, Plus, and Advanced — are compatible with the integration.

Can I disconnect QuickBooks if I change my mind?

Yes. You can disconnect the QuickBooks integration at any time from your BuilderFlowPro settings page. Disconnecting stops future syncing but does not delete any data that has already been synced. Your existing invoices and client records remain intact in both platforms.

What happens if I already have clients in QuickBooks?

BuilderFlowPro performs an intelligent merge during the initial sync. It matches clients by name and email address to avoid creating duplicates. If a client already exists in QuickBooks, BuilderFlowPro links to the existing record rather than creating a new one. You can also manually map clients during setup if you want full control over the matching process.
